There are various challenges associated with the development of a technology implementation project. These initiatives often possess beneficial and challenging opportunities for organizational change. The first step in this process is the system request, where a document is created to seek out a specific technology. A rationale for the technology accompanies this material in terms of some benefit that derives from the technology. The advantages of technology could be that it creates organizational efficiency that produces some form of financial benefit. This stage is followed by a feasibility analysis to generate data concerning whether the project benefits the organization. Following the feasibility analysis is the project plan, where details concerning the tasks, deadlines, and implementation plan are established. This stage is essential since it serves as the framework for the project to be completed successfully within a predefined timeframe. An analysis strategy was included to ensure the project's objectives remained consistent throughout every stage of the development and implementation of the project. A needs analysis is the next stage in the development project. This stage is crucial because it outlines how the technology will be used. The needs analysis also helps ensure the project maintains a user-based design throughout each stage. The system proposal is the next stage, which formalizes the process by compiling all the necessary supporting documents and research. A design strategy is introduced to provide a comprehensive model addressing a wide range of user-centred factors influencing the initiative's effectiveness. The system specification determines the best product to use in the project based on the technology's location and users' needs. The system construction and installation plan is essential in ensuring the installation does not impede the use of the technology. A training plan is included to give users an orientation about the technology and its features. More in-depth training is also developed to ensure a relatively consistent level of knowledge and ability among different users. The support plan is the final stage of the development process, where issues concerning long-term sustainability are considered.
1. System request
The system request is based on the need for a specific technology to address a set of needs that cannot be effectively solved using current standards and practices. In this initiative, the technology request is for an advanced video conferencing system equipped with high-quality acoustic accessories. According to Doke, Karahashi, Suganuma, Kinoshita, and Shiratori (2002), designing a videoconferencing configuration requires a high degree of knowledge and understanding about how the technology will be used. In the system request, this information is vital in providing an effective solution for users of this technology. The authors of this study examined how flexibility is an essential component of the system request because technology is often used for more than one purpose. This research applies to this strategic instructional technology proposal since the videoconferencing technology will be used for meetings and training. After establishing the system request, it is essential to conduct a feasibility analysis.
2. Feasibility analysis
This stage of the project overview is essential since it provides data concerning the initiative's viability. While a technology project may appear valuable in concept, without adequate data about the feasibility of the initiative, then there is a significant risk that the project will be unsuccessful. Dymond, Renzaglia, Halle, Chadsey, & Bentz (2008) examined how it is essential to include an evaluative component when examining the benefits and potential uses of technology such as videoconferencing. This study reinforces the benefits of conducting a feasibility study to demonstrate the value added by such initiatives. The findings in this study indicated how variables such as infrastructure, equipment, visual space, sound quality, and internet connection are critical factors to consider when examining the feasibility of a videoconferencing project. Based on the requirement of this proposal, each of these criteria has been met. After successfully meeting the requirements of the feasibility analysis, a project plan can be developed.
3. Project Plan
This stage in the strategic instructional technology project is essential in establishing the parameters in which the work is completed. The project plan is an effective way to formally establish the previous stages to ensure alignment with the data gathered. Pierson, Shepard, and Leneway (2009) conducted a study on responsive inquiry technology and education. This research focused on implementing technology in an educational institution using a Distributed Collaborative Research Model (DCRM). This research is valuable since the results indicated how it is essential for system developers to address multiple factors when implementing a technology project. The project plan for this particular initiative is based on a series of deadlines that correspond with the schedules of various stakeholders.
4. Analysis strategy
Following the project plan is the analysis strategy. This stage is crucial since it helps to establish a series of factors to be measured during various stages of the project to ensure that each requirement is effectively addressed. Casanovas (2011) conducted a study that analyzed how educators perceive the use of technology in education. This research is fundamental since it illustrates the need to evaluate how educators and other users perceive technology and whether they deem it essential for their daily practices. By taking this data into account, system designers can create practical technology projects that are used consistently and effectively by the critical stakeholders of the organization. A need analysis is conducted after implementing an analysis strategy to consider user design issues.
5. Needs analysis
This stage of the development process is helpful in clearly identifying how the technology will be used and what factors may influence the project's success. A needs analysis is also helpful in addressing risks and avoiding errors. North, Coffin, and Hewings (2008) examined how users interact with technology. This research applies to the technology project since it demonstrates how users respond differently to technology in various contexts. For this project, it is essential to conduct a needs analysis of users to examine how they will use videoconferencing for meetings or how educators will use this technology to provide instruction. After gathering data from the needs analysis, the next stage is to develop the system proposal.
6. System proposal
A system proposal is an effective tool for clearly understanding the technology's limitations, potential uses, and benefits. Adopting a user-centred approach to this system design project is essential for achieving successful outcomes. By thoroughly examining how videoconferencing can be used for meetings and education, designers can create a map that clearly illustrates the processes involved in the operation. Panagiotis, Anastasiades, et al. (2010) conducted a study that examined the best practices established by an educational institution that used videoconferencing for various collaborative projects. The study's results indicated highly positive responses to using this technology as a primary communication tool for meetings and instruction. After creating a system proposal, a design strategy must be implemented to ensure the project's effective implementation.
7. Design strategy
A design strategy is an essential component of the development process since it focuses on ensuring that previous data serves as quality measures that can be used to assess the project's effectiveness. The strategy ensures the user's needs are directly embedded into the technology's functionality. Cifuentes, Alvarez, and Edwards (2011) examined how technology can enhance and improve the learning experience. In particular, the authors examined how technology, when designed effectively, can significantly impact learning.
8. System specification
The system specification process is the culmination of the previous stages, where the precise type of technology that best suits the initiative's needs is selected. The system specification requires an evaluative and comparative process, comparing different features and costs to determine the most effective technology. In this study, the process would involve examining different videoconferencing devices to determine the most favourable device. Questions concerning audio and video quality would be necessary. Other details concerning ease of usability and number of functions would also be relevant.
9. Plan for system construction and installation
The plan for system construction is based on the needs established by the facilities department. This department would also conduct an evaluative process to determine potential issues and barriers that may be encountered. Leger (2003) conducted a study examining a technology master plan. This study was valuable in understanding how users would access and interact with different technology.
10. Training plan
The training plan is essential in designing a successful project that meets the multiple needs of diverse users. A training plan must align with other data established in the needs assessment and analysis to ensure that users are always considered. Just-in-time training is also valuable in providing users with valuable skills and abilities that directly relate to the objective of the project plan. Irani & Telg (2002) conducted a valuable study that provided data about technology training and development programs. The training should also be based on the needs assessment to ensure that users are adequately prepared to use the technology effectively. In this proposal, the training provided will ensure that users have the necessary skills and knowledge to engage effectively with videoconferencing technology.
11. Support plan
The role of the support plan is to ensure that once the project has been implemented, various issues are addressed immediately to avoid interrupting service. In this proposal, the support plan has been designed to ensure that technological problems are quickly addressed. In the initial stages of delivery, it is imperative to have technical support present during the first few sessions to address any issue quickly. Styrom, Want, and Styron (2009) examined the different considerations that must be factored into a system design. This study was beneficial since it illustrated the need for several support groups to ensure the initiative's success. While technological assistance is crucial, administrative and clerical support is also essential.
Conclusion
Strategic instructional technology plans are important in system design since they address various variables. Had a system design not been established, the project would have been susceptible to numerous errors and shortcomings. By planning, gathering data, and analyzing information, designers become better equipped to anticipate and amend any factors that may negatively impact the initiative's overall success. This initiative addressed various factors to ensure that users could use videoconferencing technology to conduct meetings and provide instruction. Initial reports in this proposal indicated how this project improves organizational efficiencies and provides significant potential to generate revenue.
